video conferencing tips As with all technology, having it is useless if nobody uses it. Many people are intimidated by technology and are resistant to using it. Make people love your videoconferencing system and you for getting it. Here are some tips for having a successful program:
- Have a champion in the company, someone that informs and promotes the use of the videoconferencing system.
- Have top executives use the system regularly. Studies have shown that companies where the CEO and top executives use the system often are more successful.
- Make the physical surroundings similar to meeting surroundings and users will feel more comfortable.
- Inform employees with instruction and articles in corporate newsletter. Most importantly, share successful stories.
- Outline corporate strategy, i.e. reduce budget period by three weeks.
- Introduce the meeting rule. Require that any physical meeting that requires 2 hours or more of travel be preceded by a videoconference. Either the physical meeting will be eliminated, because users have covered everything they needed in the videoconference or the physical meeting will still take place, but will be more productive, because everyone will be better prepared. Either way, users will become more familiar with the system and start using it more often.
